Keeping Track of Resource Bookings 

Every Resource has its own Calendar.  When a user books the Resource, the
Calendar must be filled in for the relevant date and time.  If a user
cancels a Resource booking, the entry must be deleted from the Calendar
so that the Resource is freed for other users.  There are two ways you
can keep track of Resource bookings:

   *   You can set the AutoInsert for a Resource.  This means that
       bookings and cancellations are automatically entered or deleted in
       the Calendar.

       To set the AutoInsert, log onto HP Desk as the Resource.  At the
       Administration Area, type AUTOINSERT RETURN. You can specify the
       groups of users who have automatic access to the Resource's
       calendar.  To exclude a group, press RETURN. The groups are:

          *   Anyone.  This means that bookings can be freely made by
              anyone on the HP Desk network.  This is the default setting
              for a newly configured Resource.

          *   Users with the same HP Desk address.  This means that only
              those people on the same mailnode as the Resource can make
              bookings.

          *   Designates.  This means that only those people who have
              been appointed designates can make automatic bookings.  You
              appoint designates for Resources in exactly the same way as
              you do for users.

       To unset the AutoInsert, type AUTOINSERT RETURN at the
       Administration Area.  After each of the prompts press RETURN.

   *   You can choose not to set the AutoInsert for the Resource.
       Instead, you can appoint a designate for the Resource who will act
       as a caretaker.  Anyone can issue a SCHEDULE request, but only a
       designate (or someone who knows the Resource's HP Desk password)
       can update the Calendar.  The caretaker must periodically check
       the Resource's In Tray to see if SCHEDULE requests have been
       received.
