Configuring Resources 

Configuring Resources into the network is the biggest job for an
Administrator.  HP Schedule treats Resources just like it does HP Desk
users; each Resource, such as a room, projector or set of spare chairs,
has a Calendar which is used to make bookings.

There are two ways of configuring Resources into the network:

   *   Using the HP Schedule option of the HP Desk Configurator.

   *   Using the HP Desk Batch Configurator.

For more information on using the HP Schedule option of the HP Desk
Configurator, see Chapter 12 .

Using the Batch Configurator 

You create a batch configuration file using the codes and formats given
in Chapter 14 .  Using the batch configurator you can:

   *   Add, Delete or Modify a Resource Class.

   *   Add, Delete or Modify a Resource.

You can also use the Batch Configuration File Editor to produce data
files for input to the Batch Configurator.  See Chapter 14  for full
details.

Classes of Resources 

You will probably find the configuration quicker if you make a list of
all the types of Resource which are shared by people in your organization
and which have in the past been booked using some other reservation
system.  Your list might look something like this:

   1.  Rooms
   2.  Projectors
   3.  Screens
   4.  Spare chairs
   5.  Teaching aids
   6.  Cars
   7.  Maintenance crews (or other personnel whose services must be
       booked in advance)
   8.  Meals
   9.  Scientific equipment
  10.  Sports facilities

Each of these types is referred to as a Class of Resource by HP Schedule.

Attributes of Resources 

Attributes describe the members of each Class.  They are the special
features which distinguish one Resource from another.  For example, rooms
can be large or small, projectors can be overhead, slide or movie, chairs
can be hard or soft and so on.  Obviously, some Attributes are more
important than others.  It will perhaps help you with your configuration
if you draw up a table giving the important Attributes of a Resource
Class.  For example, room Attributes could look something like this:

This table fully describes the rooms Class.  Individual Resources are
down the left-hand side and Attributes are across the top.  Notice how
you can Classify the Attributes:

   *   Numeric Attributes describe quantities, for example seating.  They
       can take any whole value between -32,768 and 32,767.

   *   Simple Attributes describe something a Resource has or doesn't
       have, for example smoking, windows, and projector.

   *   Descriptive Attributes require an adjective or a noun, for example
       color.

Both the HP Schedule and Batch Configurators employ this system of
Attribute Classification.  Any Resource can have up to 12 Attributes -
four from each of the three types.  You can, of course, simplify Resource
bookings by leaving out Attributes altogether, but unless all the
Resources in the Class are very similar, your booking system might become
too inflexible if you do.  On the other hand, if a user selects a large
number of Attributes, it is quite likely that HP Schedule will be unable
to make a match.  This is especially true for Descriptive Attributes
because possible values may be difficult to guess.  In such a case, you
might have to make a list of Attribute values freely available to users.


NOTE You can also add, delete, modify, print or list Resources. If you need to adjust the size of your database to accommodate the extra Resources (and this is unlikely) note that: * Resources' Calendars are part of the local Database. * Resources' Attributes are part of the global Database.
Chapter 8 tells you about estimating the size of databases. The different Administrator capabilities and how you use the HP Desk Configurator are listed in Chapter 12 . If you want to see a list of | | Classes, press ResClass Menu. When you see the Resource Class| | Information screen, press List . A directory of the Classes | | and their Attributes is displayed. | | | | * If you want to see a Resource list, press Resource Menu at | | the HP Schedule menu. There are two ways you can list | | Resources: | | | | | | * By Class. Type in the Class name and press List. | | All the Resources associated with that Class are | | listed. | | | | * By mailnode. Type in an address and press List. All | | the Resources configured on that mailnode are | | listed. | ________________________________________________________________________ Adding Classes and Resources ________________________________________________________________________ | | | How to add Classes and Resources: | | | | 1. Begin at the HP Schedule menu or, if you are a Local | | Administrator, at the Configuration Main menu. To add Classes | | press ResClass Menu . If you are adding only Resources, go to| | step 4. | | | | 2. When you see the Resource Class Information screen, type in the| | name of the new Class. | | | | 3. Enter the names of the Attributes for the Class and press Add | | . If you want to add new Attributes to an existing Class, see | | Modifying Classes and Resources below. Class and Attribute | | names cannot exceed 16 characters. Return to the HP Schedule | | menu when you have finished. | | | | 4. To add Resources, press Resource menu . Remember that the | | Class must already exist on the database. | | | | 5. When you see the Resource information screen, type in the name | | of the Resource followed by its location. Enter the Class the | | Resource belongs to and press Add . | | | | When the Attribute names are displayed, enter their values. | | You can omit values for any of the Attributes if you | | think they are unimportant for that particular Resource | | item. | ________________________________________________________________________ This is an example screen for the Board Room at location HP1600/02:

Deleting Classes and Resources ________________________________________________________________________ | | | How to delete Classes and Resources: | | | | 1. Begin at the HP Schedule menu or, if you are a Local | | Administrator, at the Configuration Main menu. | | | | 2. To delete a Resource, press Resource Menu . At the | | Resource information screen, enter the name of the Resource | | and its address, and press Delete . If the Resource | | is local to your HP 3000 you are asked to confirm the | | deletion. Press Yes to confirm or No to abort the | | deletion. | | | | 3. If you want to delete an entire Resource Class, you must first | | have deleted all its Resources (step 2 above). When you have | | finished with the Resources go back to the HP Schedule menu or | | Configuration Main menu and press Resource Class Menu. When | | you see the Resource Class information screen, type in the | | name of the Resource Class you want to delete and press | | Delete. | ________________________________________________________________________ Modifying Classes and Resources Keep in mind the following points when modifying Classes and Resources: * The only way you can modify a Resource Class is to add new Attribute names. You cannot change or delete existing Attribute names other than by deleting the whole Class and starting again. * You can modify Resources by adding, deleting or changing the values given to Attributes. ________________________________________________________________________ | | | How to modify Classes and Resources: | | | | 1. Begin at the HP Schedule menu or, if you are a Local | | Administrator, at the Configuration Main menu. If you want to | | modify a Resource Class, press Resource Class Menu. If you | | are modifying a Resource, press Resource Menu and go to step | | 3. | | | | 2. When you see the Resource Class information screen, type in | | the name of the Class you want to modify and press Get | | . When the list of Attribute names is displayed you | | can enter new ones in any vacant spaces. You cannot | | delete or overtype existing Attribute names. The new | | name is added to the database when you press Modify | | . | | | | 3. If you want to modify a Resource, enter the name of the | | Resource and its location on the Resource Information screen. | | When you press Get the values for the existing Attributes are | | displayed. You can: | | | | | | * Add new values to empty fields | | | | * Delete one or more values by overtyping with the space | | bar | | | | * Change values by overtyping with fresh data | | | | Press Modify when you have finished your changes.
