Report highlights

When MCU first began offering the services of Plan America, we wanted to get the word out. But we knew we would have to be selective or the representative would become inundated. We felt the first thing we should do was to identify the best prospects for using this new service. The second thing we wanted to do was send each of the prospects a letter outlining the service and follow the letter with a phone call. Again, because of the number of members involved, and the limited amount of resource available to handle them, we wanted to be able to send out a limited number of these letters each week. In this way, we hoped that we could manage the effort and maximize both the effectiveness of the Plan America representative and the benefit to our members. We also wanted to insure that we did not waste time or effort with duplicate mailings.

QueryCalc provided us with an extremely efficient solution. This worksheet produces a limited number of customized "form" letters that are printed on letterhead. The accounts that are mailed letters are stored in an ASCII file. Each time a new mailing is made, the new accounts are added to the file. In this way, even if the criterion changes, the same person should not receive a duplicate mailing. Two separate detail reports can be created, one without balances which could be shared with the Plan America representative and one with the balances for use by credit union staff.

Note that in this report, the form letter is created in the LAYOUT of the detail report.

A job and macro are included to make running the report easier. The job can be added to the schedule to automate the entire process.
